Terms and Conditions

 

HIRER/DRIVER'S LIABILITY
The driver although not maybe the hirer is also, along with the hirer bound by all the terms and conditions of this hire agreement.

 

HIRE PERIOD
A hire day is from 10am until 10am the next day. The minimum charge is one day.

AGE
The minimum age for hiring is 21.

 

DRIVING LICENCE
A valid licence (plus copy to be retained by Moving Space) must be produced at the start of every hire, for every driver. In the case of the photo licence both parts must be produced.
All drivers must have 1 year’s driving experience, with no major endorsements.

 

INSURANCE
A fully comprehensive insurance is included in the charges with an excess of £750 vat . In the event of any damage, the excess must be paid by the hirer. In the event of any damage not involving another vehicle the hirer is responsible for 100% of the damage repair costs. In addition to the UK, the insurance applies to any country that is a member of the European Union. A copy of our insurance documents and MOT are available upon request.

 

Our insurance will not cover theft or damage to hirer’s personal belongings or electronic/musical equipment. All items left and/or stored overnight in the vehicle are left there at the hirer’s own risk. We are not responsible for any loss or damage to the hirer’s belongings or equipment at any point, either before, during or after the hire period.

 

EUROPEAN INSURANCE SURCHARGE
A one time £20 European insurance surcharge will be levied for all vehicles taken to mainland Europe. All European travel must be pre-approved by us.

 

BREAKDOWN/RECOVERY
All vehicles are covered by UK, Northern Ireland and Continental 24hr AA breakdown (within EU countries). In the event of a breakdown or accident the hirer must notify us immediately.
The hirer must not effect any repairs to the vehicle whilst on the road without notifying us first.

 

FUEL
We will endeavour to supply the vehicle with a full tank of fuel and request that the vehicle to be returned with the equivalent amount. Any short fall will be charged and deducted from the deposit.

 

AVAILABILITY OF VEHICLES
Every effort will be made to supply the vehicle requested. However, we reserve the right to substitute a similar vehicle should it be necessary.

 

ADVANCED BOOKINGS
We recommend that our customers make a reservation by telephone, fax or email. All bookings must be confirmed by fax or e-mail in advance of the hire.

 

CANCELLATION
All deposits of £750 will be retained if the hire is cancelled within 7 days of the start of the hire period.
We reserve the right to charge a 50% cancellation charge on any bookings longer than one week that are cancelled within 1 week of the hire (depending on circumstance).
For hires from 1-7 days we reserve the right to charge the full amount of the hire unless the hire is cancelled within 48 hours of the start date.

PAYMENT
Before the rental starts we require the following:

1. The total hire charge to cover the hire period.

2. A deposit of £750 (£1000 for sleeper hire) in cash, cheque, BACS or credit card payment is required for booking to be confirmed. It is held as £750 excess against damage or loss to the vehicle structure, bodywork, glass, interior, accessory equipment, tools, spare tyre, all fittings, as well as parking tickets and fines.

The deposit will be held by Moving Space Rentals and returned in full to the Hirer 2 weeks after the end of the hire period if the vehicle is returned without damage and in the same condition in which it was received by the Hirer/Driver.


If there is damage to the vehicle (including criminal damage), the deposit will be held in reserve until the cost of damage is ascertained (by a repair service contracted by Moving Space Rentals). At such time, the actual cost of the repair will be retained by Moving Space Rentals, and any remaining balance will be returned to the Hirer. In the event that the damage is more than the deposit, and the damage is shown to be due to negligence or abuse, then the hirer is responsible for paying the additional cost of repair within 30 days.


3. VAT will be added to all applicable costs.

 

4. A valid credit or debit card number must be supplied before the start of the hire. Any payments still outstanding after 30 days, including but not limited to, hire charges, penalty charges and damages, will be charged to this card without notice and a 2% card surcharge will be added (6% for AMEX). If this is declined, the debt will immediately be handed over to Daniels Silverman Debt Recovery and will be subject to a surcharge of 15% plus VAT to cover the collection costs incurred. This surcharge together with all other charges and legal fees incurred will be the responsibility of the customer and will be legally enforceable.

 

PAYMENT METHODS


EXTENSION OF HIRE PERIOD

If you wish to extend the hire period, you must contact our office before the end of the original hire period and we will try to accommodate your request. Any extensions must be paid in advance and be agreed upon by us in advance.

 

OIL/WATER/TYRES

The hirer is responsible for maintaining the correct levels of oil and water during the hire period. Any damage caused by failure to do so will result in the forfeiture of the deposit. Any tyre or wheel damage is also the hirer’s responsibility and will also be deducted from the deposit.

 

DELIVERY/COLLECTION

Delivery and collection may be made by prior arrangement and will be subject to a surcharge, depending on location.

 

CLEANING SURCHARGE

A £30 surcharge will be levied if the vehicle is not returned in the clean and appropriate state in which it was delivered.

 

LATE CHARGE

If the vehicle is returned later than the previously agreed time and date, an additional day’s hire will be charged.

 

The hirer is responsible for the face-off CD Player (and / or Satellite Navigation if applicable) while the vehicle is in their possession. If these items are stolen, the hirer is responsible for their replacement plus the repair of any damage caused to the vehicle during robbery (i.e. smashed windows, damage to dash and locks). These costs will be deducted from the deposit.

The hirer is responsible for the in car television and PA system and PlayStation. If any of the aforementioned are returned damaged or are stolen during the course of the hire, the hirer is responsible for their full repair and/or replacement costs plus the repair of any damage caused to the vehicle during robbery (i.e. smashed windows, damage to dash and locks). These costs will be deducted from the deposit.

If the engine of the vehicle is damaged or destroyed whilst in the possession of the hirer and said damage is a direct result of negligence on behalf of the hirer (which will be established by an independent source) the hirer will be responsible for the full cost of repairing the damage or a replacement engine.

 

FINES AND CHARGES

The hirer is responsible for all penalty charges, including but not limited to congestion charge, speeding, parking, bus lane infractions and fines resulting from non-payment of said charges and fines. These charges will be charged to the card number supplied without notice and are subject to administration fees of £15.
